Define categories

The Define Categoriespage allows you to add categories to the application. A category represents a distinct data category, such as Actual or Budget, which you are required to specify when creating a new period. During the process of setting up a new period, you will be prompted to select the appropriate category that accurately categorizes the data associated with that period. This selection ensures proper classification and organization of the financial or budgetary information within the application.

To access the Define Categories page, click Configuration > Periods Management > Define Categories.

The left-side panel displays a list of all available categories. The right-side panel contains the fields for the information required to define the parameters of a selected or new category.

Add a new data category

  1. Click .

  2. Enter a Category code for the category. Max 3 alphanumeric characters.

  3. Enter a descriptive Name for the new category.

  4. To activate the category, click Active.

  5. When selected, Linked Category establishes a one-way connection between two categories. The data in the category being edited is always replaced with data from its corresponding Base Category, based on the defined Base Journal View
    •    Linked Category is also used to:

      • Create a set of Budget/Forecast periods of which the data is linked to that of the Actual periods, but with a different configuration of structure (e.g. different Group Structure, different Exchange Rate, and so on).

      • Maintain sub group consolidations of which the data is always linked to the Group consolidation.

        For example, if you define the Budget category to be linked to the Base Category of Actual and the Base Journal View of Bundle, it means that:

        • All changes pertaining to the Bundle “data” of the Actual period will be copied across to the Budget period, but not the changes on the group “structures”.

        • On the other end, because the linked category only works one-way, all changes pertaining to the Bundle “data” or “structure” of the Budget period will not affect the Actual period. In fact, whatever changes you make to the Bundle “data” of the Budget period will be overwritten by that of the Actual period.

           Note:  To make the transfer of data possible, the missing codes of some structures (Accounts, Flows, Dimensions, Journals) will also be copied from the source category into the target category, but it will not change the consolidation method/percentage of the target consolidation.

  6. The Statutory option is enabled only if you select the Linked Category option. By default, the currency rates will not be transferred in order to allow consolidation of the same data at various rates, but, by using the Statutory option, the application will consider the linked category as a “Subconso” (sub period) and also transfer those currency rates.
